  • Canada Conferencing Service New
    • What will the new enterprise site domain be?

      Answer: Canada.WebEx.com

    • Will all users that have current active accounts be automatically set up on the new server?

      Answer: Yes, all existing users that have an account will be migrated over automatically.

    • What will each user need to do once their account has been migrated over?

      Answer: Once migrated, the user will receive an activation email. They simply need to validate their information (email, department, billing code, etc.), change their password, and create an audio pin. For more information on how to do any of these pieces, visit the GCconnex Files. Users will also need to reschedule all upcoming WebEx meetings with their new account information.

    • Will old accounts remain intact until we can get all the sites moved over?

      Answer: The old sites will be disabled upon migration and new account setup.

    • Will users who do not have an account today be able to request/create one?

      Answer: Yes, all new users who do not have an account today will be able to request/create an account when the site is up and running. To sign-up for a new CCS audio and/or web account:

      • Go to the following web site; Canada.WebEx.com
      • Select Sign In (top right-hand corner of page)
      • Select the Sign-Up option
      • Enter the requested information and choose your department in the dropdown menu
      • Check all 4 WebEx Service boxes for; WebEx Meetings, WebEx Events, WebEx Training
      • Select Sign-up Now

      When first accessing Canada.WebEx .com, the page language is determined by your computer's language preference; English or French.

      To change the language:

      • Select English/Français (top right-hand corner of page).
      • A new window will appear titled Change time zone and language
      • Select your preferred Language and Region using the dropdown menus
      • Select Save/Enregistrer
    • When can users start to create accounts on the new site?

      Answer: Users can sign up now. Reference the question above for instructions on how to do so.

    • Will users keep the same credentials to login?

      Answer: When users follow the link in the Welcome/Activation email, they will be prompted to change their password.

    • Will users keep the same Personal Meeting Room Host PIN?

      Answer: Users will need to set their Personal Meeting PIN in the new account. However, if they set that PIN the same as what was used before, then PIN will match the prior account.

    • When will the new dial-in numbers be activated?

      Answer: The new dial-in numbers will be available as soon as your account has been migrated to the new site.

    • How will Audio Conferencing only users be affected by this migration?

      Answer: As part of this new contract, all RLS (Reservationless audio) accounts and WebEx accounts will be merged into a single account. The existing RLS service, as well as the existing WebEx service, will be shutdown.

    • Are MyVMR accounts a part of this migration?

      Answer: No, the My VMR accounts are not a part of this migration and will remain available.

    • Will scheduled WebEx meetings be updated automatically with new account details?

      Answer: No, all scheduled WebEx meetings will need to be rescheduled with the new account information.

    • How can I sync the New WebEx account with my email/calendar?

      Answer: Open your Microsoft Outlook application. Select the WebEx Add-On in the ribbon and select More. Sign out of the prior account. Enter your email address; choose the new WebEx site (canada.WebEx.com) and your password. This will automatically sync to and update your WebEx desktop application and WebEx site.

  • Account Features New
    • What type of account will be created for each user?

      Answer: Users will have access to Meeting Center, Training Center, and Event Center.

    • Will the new accounts be tiered (i.e. 25, 250, 1000 participants)?

      Answer: No, all users will have the same kind of account with a max of 1,000 participants.

    • Will the layout/application/features remain the same?

      Answer: The application will be updated to the newest version of WebEx, so there may be some new looks/features that increase the usability/value of the application.

    • What will be the maximum number of participants?

      Answer: Audio only has a maximum of 500 participants and WebEx Meeting, Training and Events all have a maximum of 1,000 participants.

    • How will participants be able to access the audio portion of their sessions?

      Answer: Participants can join by either computer audio or by phone and you can have a mix of both join types in the same session.

    • Will I still be able to host audio-only conferences with this new account?

      Answer: Yes, if you still have the need for a standard audio conference bridge, your new account does offer that feature with its Personal Conference functionality. For more information on how to use it, visit the Personal Conference Audio Only Guide.

    • Will participants be able to access sessions from video conference rooms/endpoints?

      Answer: Yes.

    • Will participants be able to access sessions from Microsoft Teams?

      Answer: This is currently in development.

    • Will there be local/toll free call-in options?

      Answer: There will be 12 major hubs nationally for local calling and multiple major hubs internationally, plus Rogers Toll-Free Services. Toll Free is in development and not available at this time.

    • What will be the WebEx Security classification of these new accounts?

      Answer: At this time, the service at launch will remain at an unclassified level. However, we will be looking into if we can get to a protected A or B environment. There is no time frame for this.

    • Will hosts have the ability to create breakout sessions?

      Answer: Yes. WebEx Meetings has a new and very rich breakout session feature. For more information on how to use it, visit the WebEx Meeting Breakout Session Guide.

    • Will hosts be able to assign Co-Hosts to help them manage participants, the lobby, breakout sessions, etc.?

      Answer: Yes, users will now have the ability to assign Co-Hosts in WebEx Meetings. A Co-Host will have the permissions to manage users, the lobby space and breakout sessions. Hosts can also assign someone as an Alternate Host while scheduling their session. An Alternate Host has permission to start and run the session before the primary host arrives.

    • Will users have access to post session summary reports (such as attendance reports)?

      Answer: Yes. These reports can be found by logging into the site, and in classic view, going to My WebEx and then viewing My Reports. Note: these reports are not available for Personal Room Meetings or Audio-Only Personal Conference Sessions.

    • Will users still be able to record their sessions?

      Answer: Yes, users will still be able to record their sessions. They will have the option to save locally on their computers or to save in the cloud (with more features). It is important to note that there is a 30-day retention policy for recordings stored in the user's account cloud, so be sure to regularly download recordings to prevent losing them. A host will not be able to record, however, if just dialing in using Audio Only. They will need to host the session through the WebEx App (either on a computer or a mobile device) to start recording.

    • Will users have the option to use a virtual background?

      Answer: Yes, virtual backgrounds are a new feature of WebEx.

    • Will auto-transcription be available?

      Answer: The French version of this feature is currently in development.

    • Can there be a unique conference access code for each call if desired?

      Answer: Yes, just not in a Personal Meeting Room.

    • Will users have the ability to do integrated polling within the session?

      Answer: Yes.

    • Will sessions be close caption capable?

      Answer: Yes, this feature is available in WebEx Meetings. However, French is not yet available. For more information on how to do this, visit How Do I Schedule Closed Caption Meetings.

    • Will hosts have the ability to move attendees in and out of a lobby space?

      Answer: Yes.

    • Will updates be automatic?

      Answer: Yes, updates are automatic to keep features current.

    • What kinds of training and resources will users have access to?

      Answer: We are preparing materials that users will be able to access at any point to help with questions they may have.

      • GCconnex Files.
      • LIFT Video Training Portal: www.liftinnovate.com/training. Users will need to sign up by selecting the signup link at the bottom of the page, entering their name, work email address and desired password. You will then receive a confirmation email that will allow them to log in. Once there they can select their language of choice and migrate to the UC Applications tab to access the conferencing training videos.
      • There is also a rich set of resources, videos and online classes available at www.help.WebEx.com.
    • Will there be a centralized number to call for support during WebEx sessions?

      Answer: We will provide the details as soon as we have finalized the details.

    • When will Call Me and Toll-Free numbers be available?

      Answer: The timeline for this feature is still unknown.
